West End Chess Policies
PRIVATE LESSONS
SCHEDULING
Please arrive promptly for your scheduled weekly lesson. Lessons are held during the scheduled time period regardless of late arrival.
MISSED LESSONS
If you need to cancel, please call 4 hours ahead of your scheduled lesson time. If you do not cancel at least 4 hours in advance you will be billed for the lesson fee. Students who miss multiple scheduled lessons may lose their weekly time slot.
ILLNESS
If your child is sick, the lesson can and should be rescheduled for an alternate day and time.
FEES
Payment should be made at the end of each lesson by cash or check. All checks should be made payable to West End Chess. There is a $20 fee for all returned checks.
CANCELED LESSONS
In the event one of our instructors has an illness or an emergency, we will make every effort to contact you as soon as possible to notify you of the cancellation.
AFTER SCHOOL PROGRAM
VOLUNTEERS
The After School Program coordinator should ensure that a school representative or parent volunteer is always present and responsible for both arrival and dismissal of the students. It is also recommended that a volunteer remain with the class to supervise bathroom visits by the students and to arrange for early pick-up of any students who become ill during the class.
MISSED LESSONS
Individual students who miss a class due to illness will not have their lesson rescheduled.
FEES
West End Chess accept payment by cash or check from individual families or from a school PTA. All payments should be made two weeks before the program start date to allow for the ordering of materials. After that date withdrawals and new enrollments are not permitted. Checks should be made payable to West End Chess. There is a $20 fee for all returned checks.
CANCELED LESSONS
After School Program classes may be canceled due to weather-related school closings, other school closures, or instructor illness or emergency. In the event of a cancellation, the school's After School Program coordinator is responsible for notifying the parents of all enrolled students. A make-up class will be rescheduled for no additional fee.
TEAM COACHING
PARENT ORGANIZERS
Parent organizers are usually responsible for coordinating team meetings and team business. They contract with West End Chess to provide team coaching as needed. West End Chess bills on an hourly basis for all services rendered.
FEES
West End Chess will issue an invoice to each contracted chess team on the last day of every month. Payment should be received by West End Chess no later than the 15th of the following month. If payment is not received then further lessons will be suspended and a late fee of $30 will be charged. There is a $20 fee for all returned checks.
CANCELED MEETINGS
Parent organizers should notify West End Chess and team families as soon as possible when a team meeting is canceled due to school closings. If West End Chess needs to cancel due to illness or emergency parent organizers will be contacted as soon as possible. The team meeting can either be postponed or conducted without the presence of a West End Chess instructor.
